    6-9: Tea Party Study Session
    6-7: Speaker
    7-9: members/people can come drink tea and study.

    what snacks should we bring? Should we just purchase with NCAM money?

    Snack platter of veggies and fruits! Baby carrots, celery, Ritz crackers, string cheese..... Smile

    Just to clarify: the Tea Party is on Wednesday and not Tuesday correct? The google doc says Tuesday.

    So sorry about the mix up; yes, it's Wed., 5/9/12.
    Speaker and tea tasting volunteer will be there to set up at 6pm.
    Event officially starts at 6:30pm. Both tea tasting and speaker have the floor between 6:30-8pm.
    8-9pm will be study session/Tai Chi run-over.

    Veggie platter and cheese and crackers sound good. I think we should raffle a couple prizes: NCAM tote bag, NCAM T-shirt, maybe buy just a couple other prizes.

    Also I don't think it's ever too late to advertise; we could advertise on Monday, Tuesday, and Wednesday because no one ever plans ahead of time anyway. So I'm not sure how to go about this. Ideas please!

    I know that for sure I'm going to make large signs to point to our event on the day of. And post them places to lead to the room at night to get those last minute people. I don't know if that's legal though. Let me know?

    What we do have now:

    1. Email coming out on Sunday
    2. Facebook event (is this done yet?)


    I was going to suggest doing the table things but I dropped the ball Basketball on that one. Embarassed and I think we have to get approval for that. I know alice told me once that her club just did it, but I'm afraid for NCAMs rep. we're still small. don't have much to fall back on.

    har har har. Laughing Um. yes, I think Josephine agreed on that idea too, so tea shirts it is!

    Also for officer transitioning, what we did in the past was during spring quarter we had the old officer and the new officers meet, and they would find time between them to transition on the information to the new officer. So whenever you have time, Wendy, maybe you could meet up with Samantha and show her all the ropes. But yes, in the future you will be in charge of the facebook events. Until the training though, I think Wendy will be covering them. This also goes for Agustin/Aida with Celia (although this will be easier on you Aida because Agustin in there.) and who ever has a new position/has not been on the team before and is completely lost. If you are completely lost please let me know because right now I can't think of anyone else who needs training.

    Ahh, sad day. I won't be able to make it to the Tea Party until after 7; I scheduled a volunteer shift at the hospital from 3-7 because I thought it was on Tuesday. >< I should be there by 730 though, and I can give my water boiler to somebody beforehand, if that makes things easier!

    Things To Bring

    Ok ya'll! Here's the deal!

    There are three volunteers total: Imen Shan, Linda Louie, and Tom Ivey. They will be bringing their own tea and tea equipment for their stations. I'm hoping they can provide their own water heaters, but they are going to get back to me on that.

    However what NCAM needs to provide is:

    1. Water, we need to buy jugs of Sparkletts water
    2. Cups, we need lots of small cups for our attendees to drink tea from
    3. Small trash cans with no holes on the bottom for dumping used tea water for each station.
    (I have a few, I think, but I need to check for holes)
    4. Surge protectors (I have TONS of these)
    5. Our water heater.
    6. Other teas for our guests to drink from (we don't need as many as previous Tea Parties)
    7. Things to brew these other teas in
    8. WE NEED TO UPDATE AND PRINT THE TEALETS AND HANDOUTS. I am gathering information to update these with our current volunteers names and their tea shops.
    9. GIFTS for our volunteers. They are being so awesome!!!

    That's all I can think of for now. I don't have a working version of Photoshop right now, so I'm going to need someone to help out with changing small portions of information on the handouts and tealets. *looks over at Wendy*

    Also, I just made the Facebook page. INVITE EVERYONE YOU KNOW! THIS IS KEY! I've also invited all Computer Science majors (since it's easy to do that now on Facebook) so we'll get lots of engineers coming, which is good because it's in MS!

    - I have a tea steeper (It's a little small, but works well Smile) we also have that large tea pot that was use for ncam meetings which produces quite a lot of tea.
    - I know that in our locker we have lots and lots of cups.
    -I can also bring my home water so we have more.
    -I have one one gallon jug that I can fill with water.
    -gifts for volunteers: we have the thank you cards and tote bags in the locker as well. should we add something else to the gifts?

    Also. I'm not sure how to edit facebook events, but is there a way to add that the second hour will be an open study lounge with tea and snacks for those who came for the speakers?

    Vivian,

    To reply to your previous question, yes we probably can't post large banners everywhere to direct people BUT an NCAM member can stand and hold a large banner. We can probably get 2 officers to do this.

    ALSO, do you know who has the flyer design from last year's Tea Party? I think it might be Sara, but I feel that we should flyer on Tuesday and Wednesday for this Tea Party.

    Also, what did you mean previously by "tabling thing"?

    The tabling things were the pieces of paper that are folded and put on the tables in Ackerman. I think they call them table tents.

    Can we instead of flyers bring out the sandwich board and have a huge beautiful tea party sign on it?

    Yup! I definitely like that idea for the sandwich board. In that case, if you can get that up by tomorrow that would be great. Also, yes, we probably should not have "tent-like" table flyers without approval because they can be traced back to us and with our luck we will probably get in trouble. However, another option is to just leave flyers on the outdoor tables at the bombshelter, maybe around 11am, so that when people sit down to eat for lunch, they'll just read them.

    ah yess good catch Wendy. I was guilty of this so many times and Samantha was like. girl... But yes. to the officer section.

    As for here.....

    I am bringing:

    -gunpowder tea (a black based tea)
    -black apple tea
    -this black tea I got from Disneyland.

    Any requests on which teas to make more of? (good to know since we have such different types of tea equipment, there will definitely be more of some than others.)

    Water, Tea, Raffle Prizes

    Hi everyone!

    Quick questions!

    1. I'm planning on buying many large jugs of water. I am correct in thinking this is necessary?
    2. I plan to wake up early in the morning to pick up some raffle prizes from CostPlus. Am I correct in thinking this is necessary?

    And to everyone, just bring as much tea as you can for normal consumption. There will be three tea stations with our volunteers making tea and talking about tea. They are bringing pu-erh teas and oolong teas, so perhaps bring teas different than those so we can have a wide variety.

    Are you all bringing strainers for your teas, or how is that working? Doesn't NCAM only have one tea strainer/server thing?

    Hey Andy

    1. This may be necessary. I have one gallon and the plastic jug from ncam that I was going to fill out. However, I don't think you need to buy too many more. Maybe just one more gallon? Because we can always run out and refill at stations. Smile
    2. Prizes. This is necessary only if you are not satisfied with our prizes now. we have:
    a. The speaker totebag (i'm thinking about raffling off 1 )
    b. a coupon for two free cooking workshops ($10 value!)
    c. An ncam t-shirt
    d. A little strainer that Jenny sent to us, that I'm thinking about combining with other things to make a sort of gift bundle. So not tooo many more are needed?

    As for strainers, I have :

    1. a personal one that can fill about 6 of those small cups we use for ncam.
    2. the ncam pitcher that can fill many many cups.
    3. this plastic strainer thing that doesn't come with a container. But was in a bag I was supposed to give to Irene from jenny. I'm not sure how to use this though because it's free floating and doesn't have a cap. Sad

    and that's about it Smile so at this point we have 2 kinds of teas we can make. (that last one... i don't think I'm going to count.)

    Ok, that sounds fine. I definitely do think we'll need more water for the volunteers to use to brew tea and also to clean their teaware between teas. Where are these "refill stations" you speak of? What kind of water is it? I do not want us brewing tea from bathroom sink water.

    Definitely make the strainer into a goody bag of some sort. Include some tea bags you may have to go with it too.

    Ok, it seems everything is set. The volunteers are arriving at 6pm at Lot 6. We are going to pay for their parking. I will escort them to the room and pay for their parking myself. It may be that I'll need an assistant in case volunteers come at different times. So please be polite and pay for their parking. LEAVE THE TICKET ON THE DASHBOARD OF THE CAR UNLESS IT SAYS OTHERWISE!!

    Cool, this is going to be awesome guys! Let's take lots of pictures!

    Cups!

    One of our volunteers is bringing 30 porcelain cups for the volunteers to use, but we're probably going to need extras.

    And we shall need someone else to help. I'll check this forum again at three or something, and call if nothing happens. I do know that I'll be coming home to put everything together and setting up the room, so I won't be able to help with the speakers, anyone else?!

    The filler stations are hydration stations Smile no bathroom water!
